Mail Clerk II

The Account Services, Mail Clerk II, is a vital member of the service operations team, responsible for managing daily inbound mail activities and ensuring timely distribution throughout the organization. This role includes processing return mail, executing scheduled mail runs, and supporting administrative tasks such as handling paid-in-full mailouts, scanning large files, processing FEDEX invoices, and generating daily reports. The Account Services, Mail Clerk II, plays a key role in maintaining workflow efficiency by adhering to established procedures and contributing to the overall success of the department.

Essential Duties and Responsibilities:

  • Collect incoming mail and packages, sort them by department or recipient, and ensure timely delivery.

  • Deliver mail throughout the building on a scheduled route.

  • Prepare outgoing mail, including weighing, labeling, and affixing postage.

  • Identify and process undeliverable or returned mail, updating records as needed.

  • Track incoming and outgoing mail volumes, maintain logs, and prepare reports.

  • Operate Mailroom Equipment, use postage meters, scanners, copiers, and other mailroom tools.

  • Work with postal services and courier companies (e.g., FedEx, UPS) to ensure proper handling and delivery.

  • Scan documents, filing, and assisting with invoice processing.

  • Transport outgoing mail to the post office or courier drop-off locations using a company vehicle, ensuring timely and secure delivery.

  • Other duties as assigned

Required Experience:

  • Minimum two (2) years of experience in mailroom, office support, administrative, customer service, records management, or related environment.

  • Ability to quickly address issues and provide responsive customer service.

  • Demonstrated ability to communicate effectively both verbally and in writing, with strong active listening skills and the ability to build productive working relationships across teams.

  • Proven ability to collaborate in a team-oriented environment while maintaining professional communication

  • Demonstrated high levels of professionalism and ethical standards, adhere to policies, respecting all individuals and supporting organizational values.

  • Proven ability to prioritize tasks efficiently and focus on quality and productivity in work.

  • Ability to meet attendance standards and proactively contribute to innovation and improvement.

  • Demonstrated strong organizational skills and attention to detail.

  • Ability to manage multiple tasks and meet deadlines.

  • Ability to lift and move 10 lbs.

Education

  • High School Diploma, GED or equivalent.

Overtime - as required on an as needed basis.

Travel 0-10% - as required on an as needed basis.

Must have reliable transportation and live within a commutable distance to one of the following cities: Atlanta, GA.

Qualifications Preferred:

  • Captive finance industry experience is highly preferred!

Physical Demands: Regularly required to sit, stand, walk, bend, reach, and perform repetitive hand movements while sorting, processing, scanning, and distributing mail and documents. Must be able to lift, carry, push, or pull mail trays, boxes, and office materials weighing up to 10 lbs. (pounds) and move throughout the facility to complete scheduled mail runs and related administrative tasks.

Work Schedule:

  • This position requires onsite work five (5) days per week, Monday - Friday, 8:00 a.m. - 5:00 p.m. Schedule and reporting requirements may be subject to change based on business needs.
